OFFICE ADMINISTRATOR

The Spain–U.S. Chamber of Commerce is seeking a highly organized and detail-oriented Office Administrator to support the organization’s day-to-day financial and administrative operations.

This position is responsible for bookkeeping, accounts payable and receivable, office coordination, and administrative support to the Executive Director. The ideal candidate is reliable, proactive, and comfortable managing multiple responsibilities in a professional nonprofit environment.

LOCATION

New York City

KEY RESPONSIBILITIES

  • Accounting & Bookkeeping
  • Prepare journal entries and maintain general ledger records
  • Assist with monthly and year-end closings
  • Reconcile bank and balance sheet accounts
  • Process accounts payable and accounts receivable transactions
  • Prepare invoices, monitor payments, and follow up on outstanding balances
  • Maintain accurate financial and vendor records
  • Prepare bank deposits and assist with account analysis
  • Support the annual audit process and maintain internal financial controls
  • Monitor and resolve banking and payment discrepancies
  • Assist with tax-related documentation and filings

Administrative Support

  • Provide administrative support to the Executive Director
  • Coordinate meetings, appointments, and travel arrangements
  • Assist with expense reports and document preparation
  • Manage filing, scanning, copying, and correspondence
  • Answer and direct incoming calls and inquiries

Office Management

  • Greet visitors and provide general office support
  • Receive, sort, and distribute incoming and outgoing mail
  • Maintain office supplies and coordinate equipment servicing
  • Liaise with vendors and messenger services
  • Track employee vacation and sick time
  • Perform occasional office-related errands as needed

QUALIFICATIONS

  • Bachelor’s degree or equivalent experience
  • Previous office administration and/or bookkeeping experience preferred Knowledge of accounting principles and practices
  • Proficiency in Microsoft Office and accounting software such as QuickBooks Strong organizational, numerical, and communication skills
  • Ability to handle confidential information with discretion
  • Professional fluency in English required; Spanish is a plus

COMPENSATION & BENEFITS

  • Gross salary: $60,000
  • Hybrid work schedule

Pay: $25.00 - $28.00 per hour
