Responsibilities
- Operate multi-line phone systems, answer inquiries, and direct calls efficiently using proper phone etiquette.
- Maintain organized filing systems, handle data entry tasks, and ensure accurate record keeping.
- Manage calendar scheduling, appointments, and coordinate meetings for staff members.
- Assist with office management duties such as ordering supplies, maintaining office equipment, and overseeing general administrative functions.
- Provide exceptional customer service by supporting clients, vendors, and internal teams promptly and courteously.
- Proofread documents for accuracy, clarity, and professionalism before distribution.
- Utilize Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools for daily tasks.
- Support personal assistant duties as needed, including travel arrangements or special project coordination.
Qualifications
- Proven experience in office administration or clerical roles within a professional environment.
- Strong computer literacy with proficiency in Microsoft Office Suite, Google Workspace, and data entry skills.
- Excellent organizational skills with the ability to multitask effectively in a busy setting.
- Bilingual abilities are a plus to serve diverse client needs effectively.
- Exceptional phone etiquette and customer service skills to foster positive interactions.
- Knowledge of front desk operations and multi-line phone systems to manage high call volumes smoothly.
- Demonstrated ability to proofread documents carefully and maintain attention to detail.
- Strong time management skills with the ability to prioritize tasks efficiently.
- Previous experience as a dental or medical receptionist or personal assistant is advantageous but not required.
