Office Administrator and Bookkeeping Specialist

Job Summary
Start with hands-on training in order entry and customer service (learn our specialized products and MISys MRP/inventory system). Transition gradually to full time bookkeeping, using QuickBooks Enterprise (payroll, AP/AR, reporting), with strong potential to grow into office management. A key backbone of this role is a true self-starter: someone who spots problems early, takes initiative independently, finds logical solutions balancing technology and creative thinking, and stays curious about new tools/software to drive improvements and help execute our owners’ vision for the future.

Responsibilities

  • Process orders, quotes, and provide excellent customer service to industrial clients (including Fortune 500).
  • Manage QuickBooks Enterprise bookkeeping: payroll processing, accounts payable (vendor payments/bills), accounts receivable (invoicing, payment tracking, collections, aging reports).
  • Generate and prepare financial reports (e.g., profit/loss, cash flow, balance sheets, custom/manufacturing-specific reports) for management and compliance.
  • Support inventory via MISys (or learn it), e-commerce tasks, and proactively identify/resolve operational issues with practical, tech-enabled, creative solutions—while exploring new software/tools to enhance processes.
  • Eventually oversee office operations, team coordination, and additional financial/reporting needs—taking ownership to streamline and innovate.

Experience

  • Proven experience with QuickBooks Enterprise (or similar desktop version) + small business bookkeeping (including AP/AR, payroll, and report generation).
  • Strong self-starter mindset with proactive, creative problem-solving: ability to identify issues independently, think logically, and develop balanced solutions using technology and innovative approaches.
  • Knowledge of and genuine curiosity about new technology and software—eager to learn, adopt, and apply emerging tools to improve efficiency and support business growth.
  • Excellent organization, attention to detail, and people/customer service skills.
  • Tech-savvy (builder/maintainer mindset); familiarity with e-commerce or MRP/inventory systems (like MISys) a big plus.
  • Full availability for in-office 40 hrs/week (no remote).
  • High school diploma or equivalent; degree in business/accounting preferred.

Pay: $55,000.00 - $68,000.00 per year
