About the Role
We're seeking a detail-oriented, proactive Office Administrator to support our dynamic interior design team. You'll be the operational backbone—ensuring seamless project flow, managing finances and compliance, maintaining our resource library, and keeping communication clear between designers, clients, vendors, and project sites. This role combines classic office administration with specialized support for interior design projects, allowing our creative team to focus on delivering stunning, client-centered spaces. Key Responsibilities
- Oversee daily studio operations: manage office supplies, equipment, facility upkeep, and create a clean, inspiring workspace for the team.
- Handle stock procurement for projects: order, track, and manage materials, samples, furniture, and finishes—ensuring timely delivery.
- Maintain and continually resource the firm's resource library: curate samples, catalogs, fabrics, finishes, and vendor resources; update digital/physical libraries with new items and trends.
- Manage financial administrative tasks: prepare and process invoicing (accounts payable and receivable), track expenses, handle payments, and support light bookkeeping using QuickBooks.
- Ensure compliance and risk management: coordinate insurance certifications, work with net vendors, manage required documentation, and maintain records for regulatory and project compliance.
- Administer contracts and agreements: prepare, track signatures, file executed contracts and monitor key dates/milestones.
- Track and support projects: maintain comprehensive spreadsheets and dashboards on the company platform for all new and ongoing projects; monitor timelines, budgets, deliverables, and status updates.
- Facilitate communication: serve as the central point of contact between the design team, property contacts, vendors, —relaying updates, scheduling site visits/meetings, and ensuring smooth information flow.
- Provide general administrative support: schedule meetings (virtual and in-person), manage calendars, coordinate travel.
- Leverage technology: maintain shared files, update project management tools, and use Microsoft Office Suite (especially Excel for tracking/spreadsheets) and other platforms to streamline workflows.
Qualifications & Skills
- High school diploma or equivalent required; associate or bachelor’s degree in business administration, interior design, or related field preferred.
- 2–5+ years of office administration experience, ideally in an interior design studio, architecture firm, construction-related office, or creative agency.
- Proven knowledge of QuickBooks (for invoicing, AP/AR, expense tracking) and advanced proficiency in Microsoft Office Suite (especially Excel for complex spreadsheets and tracking).
- Familiarity with interior design and construction processes: understanding of project lifecycles, materials/finishes, vendor ecosystems, and common compliance needs (insurance, certifications).
- Strong organizational and multitasking abilities—able to juggle multiple projects, and deadlines in a fast-paced creative environment. Excellent communication skills (verbal and written) with professional etiquette for client/vendor interactions and team coordination. High attention to detail, accuracy, and discretion when handling confidential project, financial, and client information.
- Proactive, solutions-oriented mindset with the ability to anticipate needs and adapt to changing priorities.
- Experience with project management tools, Google Workspace/Microsoft 365, or design-specific software (e.g., for resource libraries) is a plus.
