We are looking for a highly organized and proactive Office Administrator to support the daily operations of our cybersecurity and consulting business. The ideal candidate will handle administrative, operational, and coordination responsibilities to ensure smooth day-to-day functioning of the office, consultants, and client engagements.

Key Responsibilities1. Office & Administrative Management

  • Oversee all office operations, ensuring a well-organized, efficient, and professional working environment.
  • Manage office supplies, maintenance requests, meeting room schedules, and general facility needs.
  • Maintain office documentation, filing systems, and company records.

2. Executive & Team Support

  • Support the CEO and consultants with scheduling, travel arrangements, meeting coordination, and documentation preparation.
  • Assist with preparation of proposals, presentations, and formatted client documents (PowerPoint / Word).
  • Handle incoming calls, emails, and communication on behalf of the office.

3. Client Engagement & Coordination

  • Coordinate with clients to arrange workshops, meetings, project sessions, and follow-ups.
  • Prepare and send meeting invites, agendas, and minutes.
  • Track client communication, consultants’ calendars, and project timelines.

4. HR & Onboarding Support

  • Support onboarding of freelance and full-time consultants (collect documents, create accounts, manage contracts).
  • Maintain attendance logs, leave records, and HR documentation.
  • Coordinate training, interviews, and recruitment scheduling when needed.

5. Finance & Procurement Assistance

  • Support basic finance tasks such as vendor coordination, invoice follow-up, expense tracking, and petty cash management.
  • Assist with procurement requests for software, tools, subscriptions, and office materials.
  • Coordinate with accounting for bill payments and monthly reconciliation.

6. Project & Operational Coordination

  • Support project managers and consultants in tracking tasks, deliverables, and deadlines.
  • Maintain project documentation folders and ensure proper version control.
  • Manage logistics for client workshops, assessments, and onsite visits.

Qualifications

  • 2–5 years of experience as Office Administrator, Office Manager, or Executive Assistant.
  • Strong organizational, multitasking, and communication skills.
  • Proficiency in MS Office (Word, Excel, PowerPoint) and ability to work with templates.
  • Experience coordinating with clients, scheduling meetings, and managing calendars.
  • Ability to work independently, stay proactive, and handle confidential information.
  • Previous experience in IT, consulting, or cybersecurity companies is an advantage.
  • Bachelor’s degree preferred.

Job Type: Full-time

Pay: AED3,000.00 - AED5,000.00 per month
