Office Administrator
Orthopedic Practice – Pembroke Pines, FL
Hours: Approximately 8:30 AM – 5:30 PM
Salary: $100k - $110k base, plus bonus, profit sharing and benefits
Overview
A well-established orthopedic practice in Pembroke Pines is seeking an experienced Office Administrator to oversee the day-to-day operations of the practice. This individual will serve as a key operational leader, ensuring the practice runs efficiently across all administrative, financial, and clinical support functions.
This is a hands-on, “roll up your sleeves” position for someone who is well-versed in all facets of running a medical practice. The ideal candidate will bring strong leadership, operational expertise, and a proactive approach to improving workflows, patient experience, and overall practice performance.
Key Responsibilities
Practice Operations & Leadership

Oversee daily operations of the practice, ensuring efficient patient flow, scheduling, and office functionality

Manage and mentor administrative and clinical support staff, including hiring, onboarding, training, and performance management

Establish and improve office policies, procedures, and operational systems

Lead staff meetings and implement performance metrics to drive accountability and efficiency
Financial & Administrative Oversight

Oversee billing, collections, and insurance processes to ensure accurate and timely reimbursements

Monitor revenue cycle performance, identify inefficiencies, and implement improvements

Assist with budgeting, expense tracking, and cost control initiatives

Manage payroll coordination, PTO tracking, and staff scheduling
Regulatory & Compliance

Ensure compliance with HIPAA, OSHA, and all healthcare regulatory requirements

Maintain readiness for audits and inspections (DOH, Joint Commission, etc.)

Oversee credentialing processes and ensure provider compliance
Patient Experience & Workflow Optimization

Address patient concerns and ensure a high level of patient satisfaction

Analyze patient flow and implement improvements to reduce wait times and enhance service delivery

Coordinate front desk, scheduling, and clinical teams to ensure seamless operations
Systems, Technology & Reporting

Manage EMR systems and ensure proper utilization (experience with platforms such as Epic, eClinicalWorks, or similar preferred)

Develop and track KPIs related to volume, revenue, and operational efficiency

Generate reports and provide actionable insights to ownership
Business Growth & Marketing

Partner with leadership to support growth initiatives and referral development

Coordinate with marketing efforts to increase patient volume and community presence

Build relationships with referring physicians and external partners
Qualifications

5+ years of experience in medical practice management or office administration

Strong understanding of healthcare operations, including billing, insurance, scheduling, and compliance

Prior experience in an orthopedic or surgical practice strongly preferred (not required)

Experience managing staff and leading teams in a fast-paced environment

Familiarity with EMR systems (Epic, Allscripts, eClinicalWorks, etc.)

Strong organizational, communication, and problem-solving skills

Ability to be hands-on and adaptable in a growing practice
