Office Administrator / Receptionist

Key Responsibilities

  • Manage incoming calls, emails, and general office communication
  • Greet visitors and coordinate internal communication
  • Maintain organized physical and digital files (Google Drive / OneDrive)
  • Support data entry, document creation, scanning, and file management
  • Update calendars, spreadsheets, and logs (Google Workspace, Excel, Smartsheets)
  • Track deadlines, reminders, and time-sensitive tasks
  • Assist leadership and admin team with daily operational tasks
  • Coordinate office supplies and maintain general office organization
  • Support onboarding documentation and internal communication

Qualifications

  • 1+ year of administrative or office experience
  • Proficiency in Google Workspace and/or Microsoft Office
  • Strong organization and file management skills
  • Ability to learn new systems and tools quickly
  • Professional communication skills (email, phone, written)
  • Reliable, punctual, and able to work standard weekday schedule
  • Strong attention to detail and follow-through
  • Ability to communicate with Spanish-speaking field staff (translation tools acceptable)

Preferred

  • Spanish proficiency strongly preferred
  • Experience in construction, landscaping, or field-service environments
  • Familiarity with Smartsheets, Aspire, or QuickBooks

Pay: $19.00 - $25.00 per hour
