Job Summary
The Office Administrator is responsible for managing the day-to-day operations of the office, maintaining an efficient work environment, and providing essential administrative support. This role is crucial for internal communication, organization, and supporting the team's productivity.
Key Responsibilities
A. Administrative Support
- Handle correspondence (emails, letters, phone calls) and direct inquiries to the appropriate personnel.
- Schedule and coordinate internal and external meetings, including booking rooms, preparing agendas, and taking minutes.
- Manage travel arrangements (flights, accommodation) for the team as required.
- Assist with the preparation of reports, presentations, and documents.
- Generate reports, conduct research as needed to the MD
- Help the MD with pre-sales and clients visits as needed
- Invoicing and CRM management
- Coordinate visa processing and other government-related paperwork for employees with external PRO.
- Payroll management
B. Team & Operational Support
- Act as the primary point of contact for internal staff and external visitors.
- Implement and maintain efficient office policies and procedures.
C. Office & Facilities Administration
- Ensure the office digital environment (cloud storage - Google Drive) is consistently tidy, organized, and fully operational.
- Maintain and manage inventory of office supplies, equipment, and furniture; handle procurement and schedule necessary maintenance.
- Serve as the point of contact for facility management and external vendors, coordinating all repairs, services, and facility-related issues.
Skills & Qualifications
Required Education:
- Bachelor's degree or equivalent in one of the following fields:
- Business Administration
- Marketing
- Computer Science / Information Systems (MIS)
- Media & Communications
- Demonstrated experience (2-5 years) as an Administrative Assistant, Office Administrator, or in a similar administrative role, preferably in an agency or fast-paced environment.
- Familiarity with standard office software (Google Workspace).
- Proficient in Google Workspace (similar to Microsoft Office)
- Strong verbal and written communication skills in English.
- Understanding AI commands and fundamental prompting techniques.
Additional Skills (A Plus!):
- Knowledge of local market procedures in Dubai/UAE.
- Digital Agency experience i.e. digital business knowledge.
- Ability to learn digital tools, modern project management (we use www.nifty.pm)
