Office Administrator/Accounts Payable

Duties

  • Manage front desk operations, greeting visitors and directing them appropriately with excellent phone etiquette.
  • Operate multi-line phone systems efficiently to handle inquiries and route calls accurately.
  • Maintain organized filing systems, both physical and digital, including data entry and document proofreading.
  • Oversee calendar management for appointments, meetings, and events using tools like Google Workspace and Microsoft Office.
  • Provide exceptional customer support by addressing inquiries promptly and professionally via phone or email.
  • Perform clerical tasks such as photocopying, scanning, mailing, and managing office supplies inventory.
  • Assist with bookkeeping tasks using Sage 300 to track expenses, invoices, and sub-bills/contract commitments.
  • Prepare bid documents and submit for project managers.
  • Support office management activities including organizing meetings, coordinating schedules, and ensuring overall office cleanliness and functionality.
  • Handle confidential information with discretion while maintaining high standards of accuracy in record keeping.
  • Provide administrative support to team members or executives as needed, including personal assistant duties or calendar oversight.

Qualifications

  • Proven experience in office administration or clerical roles within a professional environment.
  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools.
  • Familiarity with Sage or other accounting software for bookkeeping tasks is preferred.
  • Excellent organizational skills with the ability to prioritize tasks effectively in a busy setting.
  • Exceptional customer service skills combined with professional phone etiquette; experience with multi-line phone systems is a plus.
  • Demonstrated ability to handle data entry accurately while maintaining attention to detail; proofreading skills are beneficial.
  • Strong time management skills to meet deadlines consistently while managing multiple responsibilities simultaneously.
  • Knowledge of office management best practices along with clerical experience that includes filing, data entry, and document management.
  • Must have a clean driving record and be able to pass a background check and drug test.
