We are a small private law firm located on the campus of Michigan State University. We are seeking a friendly and organized Office Administrator to join our team! This role involves providing point of contact support and paper/digital organization to ensure the smooth operation of our office. The ideal candidate will be self motivated, detail-oriented, and possess excellent communication skills.
As an Office Administrator, you will serve as the first point of contact for clients, manage schedules, handle correspondence, and support various office functions with professionalism. Your proactive approach will help foster an efficient, welcoming environment that promotes productivity and positive interactions. This position is a set schedule during the weekday - no weekends, no evenings. We also offer generous time off and we do provide paid on campus parking.

Duties
- Greet visitors and answer multi-line phone systems with professionalism and courtesy, ensuring excellent phone etiquette and customer service.
- Manage calendars, schedule appointments, and coordinate meetings using Microsoft Office and Google Workspace tools.
- Handle data entry, filing, and document management to maintain accurate records.
- Support office management tasks such as supply ordering, mail distribution, and maintaining cleanliness of the front desk area.
- Provide administrative support including typing correspondence, preparing reports, and managing calendar updates.
- Perform clerical duties such as photocopying, scanning documents, and organizing files for easy retrieval.
- Support personal assistant responsibilities when needed, including special project coordination.
- Position requires strict adherence to professional rules regarding client confidentiality.
Qualifications
- Preferred office experience with strong organizational skills and attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
- Excellent computer literacy including data entry.
- Strong communication skills with the ability to handle multi-line phone systems and demonstrate proper phone etiquette.
- Previous experience in clerical roles such as law firm, medical or dental receptionist is advantageous.
- Knowledge of bookkeeping practices or personal assistant experience is preferred.
- Demonstrated ability to manage time efficiently.
Pay: $40,000.00 - $48,000.00 per year
