Job Summary

We're looking for a friendly, organized, and proactive Part-Time Office Administrator to be the heartbeat of our office. If you love keeping things running smoothly on a day-to-day basis, enjoy variety in your day, and take pride in making the workplace a better place for everyone — this role is for you. The ideal candidate has strong interpersonal skills and a "whatever it takes" attitude to handle the day-to-day tasks that keep our office humming.

This is a flexible, in-office position — 20 hours per week (5 days a week, 4 hours a day) with a schedule you help set at hire (e.g. 8–12 or 1–5). Once set, hours are consistent.

Responsibilities:

  • Purchase office supplies and snacks Gather and sort the mail Order and put out food for monthly company lunch
  • Scan and deposit checks from customers
  • Scan and send invoices from customers to accounting
  • Enter sales orders in the ERP system (Netsuite) for new orders received from customers
  • Deliver birthday gift cards to employees and a loved one on their birthday month
  • Coordinate new employee on boarding including setup of their area, purchase of needed suppliers and the signing of new hire paperwork
  • Coordinate building maintenance when issues arise
  • Arrange company events (ie Christmas party)
  • Manage patent and contract filing of both physical electronic files

What We're Looking For

  • 1–2 years of office administration, receptionist, or similar experience preferred
  • Strong interpersonal and communication skills
  • Highly organized with great attention to detail
  • Comfortable learning new systems (NetSuite experience a plus, but not required)
  • Experience in sales or as a paralegal is a plus, but not required
  • Self-starter who takes initiative and follows through
  • Reliable and consistent — once your schedule is set, you own it

Additional responsibilities as needed.

Compensation & Schedule

  • Pay: $23.48-28.28/hr
  • 20 hours/week | 5 days a week | 4 hours a day
  • Flexible start time set at hire — and then consistent going forward
