Overview
Busy property management company is seeking a dedicated and organized Office & Accounting Assistant to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office by providing administrative and accounting support and assisting with various clerical tasks.
Responsibilities include but not limited to:
Assist the Accounting and Administrative Teams with filing, data entry, and document management. Hours are Monday through Friday 9:00am-5:00pm.
Accounting Department
- Perform clerical tasks such as filing, data entry, copying, and document management.
- Enter and scan invoices into billing system
- Prepare documents for workers’ compensation and yearly audits
- Ensure certificate of insurance are current for all vendors
- Maintain conference table reservation calendar
Administrative Department
- Maintain and organize filing system
- Filing various documents
- Create and file all new property info
- Keep Property File Index up to date
- All trans filing on an annual basis
- Pack up files for properties who are transitioning to a new company
- Maintain Storage Unit
- Pack all files in boxes, label and prepare for transport to the offsite storage facility
- Maintain spreadsheet with list of properties’ boxes and contents
- Retrieve and return documents as needed
- Mailers – Folding, stuffing, addressing, applying postage
- Answer phones/incoming calls when needed
Qualifications
- Basic knowledge of Accounts Payable/Accounts Receivable processes
- Ability to prioritize and multitask
- Strong organizational skills
- Strong attention to detail-oriented
- Experience with Microsoft Outlook, Word and Excel
- Collaborate with team members to ensure efficient office operations.
Pay: $19.00 - $21.00 per hour
