We are seeking a highly organized and detail-oriented law firm administrative assistant to provide comprehensive administrative support to our busy law firm. The ideal candidate will be a proactive problem-solver with excellent organization and communication skills and a strong work ethic. This role requires the ability to handle multiple tasks efficiently, maintain confidentiality, and contribute to a positive and professional office environment.
Essential Duties and Responsibilities:
Raleigh Reception Duties: Greet clients and visitors, answer and direct phone calls, schedule appointments, and maintain a professional and welcoming reception area.
Office Management: For each of our 4 office locations (Raleigh, Charlotte, Winston-Salem, and Charleston): Maintain office supplies inventory, order supplies as needed, ensure office equipment is functioning properly, and coordinate maintenance requests. Keep common areas tidy and organized.
Mail and Deliveries: Sort and distribute incoming mail and packages, scan documents and upload to the appropriate electronic folder, prepare outgoing mail and shipments, and coordinate courier services.
Document Management: Assist with copying, scanning, and printing. Manage checks and original documents with proper scanning and filing.
Calendar Management: Schedule meetings, and coordinate travel arrangements for legal teams as needed.
Data Entry: Accurately enter and maintain data as requested in the Firm’s electronic case management system.
Communication: Communicate effectively with attorneys, staff, clients, and vendors, both verbally and in writing.
Special Projects: Assist with special projects and duties assigned by the COO.
Qualifications:· :
o High school diploma or equivalent
o Minimum of 2-3 years of experience as an administrative assistant
o Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
o Excellent written and verbal communication skills
o Strong organizational skills and attention to detail
o Ability to prioritize tasks and manage time effectively
o Ability to work independently and as part of a team
o Ability to maintain confidentiality
o Professional demeanor and appearance
Preferred:
o Associate’s degree or some college education
o Admin. experience in a law firm or professional services environment
o Experience in Salesforce
o Experience with legal billing software or document management systems
Compensation, Schedule, & Location
$18-$21/hour (commensurate with experience/education)
Part-time (20-24 hours per week), in person
Raleigh Office (in-person)
o Monday through Thursday
o 5 consecutive hours per day between 11:00 am and 6:00 pm (i.e., 11:00 am to 5:00 pm, 1:00-6:00pm, etc.)
The person in this position will report directly to the Chief Operating Officer (COO) with dotted line reporting to the Managing Partner.
Pay: $18.00 - $21.00 per hour
