Office Assistant

Overview
We are seeking a dynamic and highly organized Office Assistant to join our team! This vital role ensures the smooth operation of daily office activities, providing exceptional support across administrative, clerical, and customer service functions. The ideal candidate will thrive in a fast-paced environment, demonstrating excellent organizational skills, strong communication abilities, and a proactive attitude. As an Office Assistant, you will be the friendly face of our office, managing front desk responsibilities, contacting doctor's offices to obtain orders, and supporting various office management tasks to keep everything running seamlessly.

Responsibilities

  • Greet visitors and clients professionally at the front desk, providing excellent customer service and answering multi-line phone systems with courteous phone etiquette.
  • Manage incoming calls, direct inquiries appropriately, and handle message taking efficiently.
  • Support office management tasks such as supply inventory tracking, order placement, and maintaining cleanliness and organization of common areas.
  • Handle clerical duties in our Physician Orders department, including managing task list of pending orders, and calling offices to obtain signatures.
  • Provide administrative support to team members including personal assistant tasks as needed, ensuring timely completion of assignments.

Requirements

  • Proven experience in an office environment with strong clerical skills and familiarity with office management procedures.
  • Excellent organizational skills with the ability to multitask effectively in a busy setting.
  • Strong computer literacy
  • Previous experience as a receptionist or medical/dental receptionist is advantageous; experience in customer support roles is highly valued.
  • Demonstrated time management skills with the ability to prioritize tasks efficiently while maintaining attention to detail.
  • Knowledge of multi-line phone systems, phone etiquette best practices, and general office procedures. Pay: From $40,000.00 per year
