Responsibilities

  • Greet clients with professionalism, providing exceptional customer service on the phones
  • Manage multi-line phone systems, directing calls accurately and courteously using proper phone etiquette
  • Perform data entry and maintain organized filing systems, including digital files using Microsoft Office tools, Vcita CRM system.
  • Assist with calendar management, scheduling appointments, and reminders for staff members
  • Support bookkeeping tasks such as invoicing and bill pay.
  • Proofread documents for accuracy and clarity before distribution, ensuring high-quality communication
  • Provide general clerical support including photocopying, faxing, mailing, and handling incoming/outgoing correspondence

Experience

  • Previous office experience or administrative support roles preferred; experience as a receptionist or personal assistant is a plus
  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
  • Familiarity with multi-line phone systems and excellent phone etiquette skills
  • Demonstrated organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment
  • Knowledge of clerical procedures such as filing, proofreading, data entry, and calendar management is essential
  • Ability to handle customer support inquiries professionally while maintaining a positive attitude
