Duties

  • Handle incoming calls promptly, directing inquiries efficiently and providing outstanding customer service and support
  • Manage calendar appointments, schedule meetings, and coordinate events using Microsoft Office and Google Workspace tools
  • Perform data entry, filing, and document proofreading to ensure accuracy and organization of all office records
  • Maintain office supplies inventory, order necessary materials, and oversee general office upkeep
  • Assist with bookkeeping tasks using QuickBooks or similar accounting software to support financial record-keeping
  • Support administrative tasks such as typing correspondence, managing emails, and supporting personal assistant duties as needed

Experience

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace is essential for daily operations
  • Strong organizational skills with the ability to multitask efficiently in a fast-paced setting
  • Excellent communication skills in both English and bilingual capabilities are highly valued to serve diverse client needs
  • Familiarity with multi-line phone systems, data entry procedures, filing systems, and basic bookkeeping practices preferred
  • Demonstrated ability to manage calendars effectively and prioritize tasks with strong time management skills
  • Experience in customer service roles that involve phone etiquette, customer support, and problem-solving will set you apart
