Responsibilities
- Greet visitors at the front desk with professionalism and warmth, managing multi-line phone systems with confidence and courtesy
- Handle incoming calls using proper phone etiquette, directing inquiries to the appropriate departments or personnel, and troubleshooting potential rental issues
- Manage calendar appointments, schedule meetings, and coordinate appointments using Google Workspace or Microsoft Office tools
- Perform data entry, filing, and document proofreading to ensure accuracy and organization across all records
- Assist with basic bookkeeping tasks using QuickBooks or similar accounting software to support office financial processes
- Provide exceptional customer service by responding promptly to inquiries and supporting clients or patients as needed
- Support office management tasks such as supply ordering, maintaining cleanliness, and organizing files for easy access
- Maintain office equipment and troubleshoot minor technical issues related to computers or multi-line phone systems
Qualifications
- Proven office experience with strong clerical skills and familiarity with office management procedures
- Excellent computer literacy including proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications
- Strong organizational skills with the ability to prioritize tasks effectively and manage time efficiently
- Bilingual abilities are highly desirable to assist diverse client needs
- Experience with data entry, proofreading, filing, and record keeping is essential
- Knowledge of medical or dental receptionist duties is a plus but not required
- Personal assistant experience or familiarity with calendar management enhances your fit for this role
- Demonstrated customer service skills with a friendly demeanor and professional phone etiquette
