We are seeking a dynamic and highly organized Office Assistant to join our team!

Duties
- Greet visitors and clients at the front desk with professionalism and warmth, ensuring a positive first impression
- Manage multi-line phone systems, directing calls accurately and courteously while maintaining excellent phone etiquette
- Handle data entry tasks using computer skills, including updating records, maintaining filing systems, and managing correspondence
- Assist with calendar management and scheduling appointments using Google Workspace or Microsoft Office tools
- Support bookkeeping activities such as invoicing, expense tracking, and basic QuickBooks entry to ensure accurate financial records
- Organize and maintain office supplies inventory, restocking as needed to support daily operations
- Perform clerical duties including proofreading documents, preparing reports, and managing incoming/outgoing mail and packages
- Provide customer support by responding promptly to inquiries via phone or email, ensuring a positive experience for all clients and visitors
- Maintain a clean, organized front desk area and assist with office management tasks to enhance overall efficiency
Experience
- Previous office experience or administrative support roles demonstrating strong organizational skills and multitasking ability
- Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Experience with multi-line phone systems and phone etiquette to handle high-volume calls professionally
- Familiarity with QuickBooks or bookkeeping software for financial recordkeeping is preferred
- Bilingual abilities are a plus to effectively communicate with diverse clients and team members
- Clerical experience such as filing, data entry, proofreading, or document management is highly valued
- Personal assistant or medical/dental receptionist experience is advantageous for understanding client needs in specialized environments
- Strong time management skills with the ability to prioritize tasks efficiently in a fast-paced setting
Pay: $19.75 - $21.40 per hour
