Office Assistant

We are seeking a proactive and organized Office Assistant to join our dynamic team! Responsibilities

  • Greet visitors and clients at the front desk with professionalism and warmth, ensuring a positive first impression
  • Manage multi-line phone systems, answer inquiries, direct calls appropriately, and handle phone etiquette with confidence
  • Perform data entry, filing, and document proofreading to maintain accurate records and support administrative tasks
  • Utilize Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools for correspondence, scheduling, and document management
  • Assist with calendar management, appointment setting, and scheduling meetings for staff members or executives
  • Support bookkeeping activities using QuickBooks or similar accounting software to track expenses and invoices
  • Handle office management duties such as supply ordering, mail distribution, and maintaining a tidy workspace
  • Provide customer service support by addressing client needs promptly and professionally
  • Support clerical tasks including typing reports, organizing files, and managing office supplies inventory
  • Demonstrate excellent organizational skills to prioritize tasks effectively and meet deadlines

Experience

  • Previous office experience in administrative or clerical roles is highly preferred
  • Proven experience with front desk operations and multi-line phone systems
  • Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and basic data entry skills
  • Bilingual abilities are a plus to assist diverse clientele effectively
  • Experience in customer service or customer support roles enhances your ability to handle inquiries professionally
  • Familiarity with QuickBooks or other bookkeeping software is advantageous but not required
  • Personal assistant or medical/dental receptionist experience can be beneficial for understanding specialized workflows
  • Excellent organizational skills combined with time management capabilities to handle multiple responsibilities efficiently
