Job Summary
We are seeking a detail-oriented and organized Office Assistant to support our accounting department and assist with general office operations. This role is ideal for someone who is dependable, accurate with numbers, and comfortable handling administrative tasks in a fast-paced environment.

Key Responsibilities

● Process vendor invoices accurately and in a timely manner

● Match purchase orders, invoices, and receipts

● Enter invoices into accounting system

● Prepare and process check runs and electronic payments

● Reconcile vendor statements and resolve discrepancies

● Maintain accurate financial records and filing systems

● Communicate with vendors regarding payment inquiries

● Answer and direct phone calls

● Greet visitors and provide professional front-desk support

● Manage incoming and outgoing mail

● Order and maintain office supplies

● Assist with data entry and document preparation

● Support management with administrative tasks as needed

Qualifications

● High school diploma or equivalent (Associate degree in Accounting or Business preferred)

● 1–2 years of accounts payable or bookkeeping experience preferred

● Basic understanding of accounting principles

● Proficiency in Microsoft Office (Excel required)

● Experience with Quickbooks accounting software required

● Strong attention to detail and accuracy

● Excellent organizational and communication skills
