Overview:
Job Summary: The Office Assistance serves in a support role, serving multiple departments across ProAct.
Scope of Responsibilities: Works under general supervision. Follows established procedures to accomplish assigned tasks and escalate issues as appropriate.
Responsibilities:
- Protect and maintain the confidentiality of all company business and any personal information obtained in the course of performing job duties
- Assist with corporate travel arrangements as directed, including coordinating with travel agencies and submitting accommodation booking requests.

Perform general administrative duties
- Responsible for sorting and distributing incoming/outgoing faxes, internal mail and external mail to appropriate offices
- Coordinate various corporate meetings or events including venue procurement, food, activities and other meeting materials or event needs as required. Screen phone calls and visitors and follow security procedures
- Assist Marketing, Account Management, Help Desk and Proposal departments with daily and/or special projects as time allows

Assist with the distribution and tracking, of client and vendor contracts

Assist with the shipping and/or receipt of supplies and materials as needed

Responsible for completing all assigned projects in a timely manner

Responsible for completing all mandatory and regulatory training programs

Perform other duties as assigned

Educational Requirements:

Preferred: Associate’s Degree
Experience:

Preferred: 1 or more years experience working in an office setting, reception or customer service.
Compensation:
$18.00 - 20.00 per hour.
The final offer will be determined after careful consideration of multiple factors such as relevant skills, years of experience and education.
