<Responsibilities>

  • Greet visitors and clients warmly, providing excellent customer service and maintaining a professional front desk presence
  • Manage multi-line phone systems, screen calls, take messages, and direct inquiries efficiently
  • Perform data entry, filing, and document proofreading to ensure accuracy and organization
  • Utilize Microsoft Office Suite and Google Workspace tools to prepare reports, correspondence, and presentations
  • Handle calendar management and schedule appointments for staff or management teams
  • Maintain office supplies inventory, place orders as needed, and oversee general office upkeep
  • Support bookkeeping tasks using QuickBooks or similar software to assist with basic financial record-keeping
  • Assist with clerical duties such as photocopying, scanning, and mail distribution
  • Provide administrative support including typing correspondence, updating databases, and supporting special projects as required

<Qualifications>

  • Proven office management or administrative experience in a professional setting
  • Strong computer literacy with proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace applications
  • Excellent organizational skills with the ability to prioritize tasks effectively
  • Bilingual abilities are highly desirable to serve diverse clients and team members
  • Experience with multi-line phone systems, phone etiquette, and customer service best practices
  • Familiarity with clerical tasks such as filing, data entry, proofreading, and calendar management
  • Knowledge of QuickBooks or bookkeeping experience is a plus but not mandatory
  • Strong interpersonal skills with a friendly demeanor and professional appearance
  • Ability to handle confidential information discreetly and maintain high levels of accuracy in all tasks
