Office Assistant

<Responsibilities>

  • Greet visitors warmly, answer multi-line phone systems, and direct calls with professional phone etiquette
  • Manage front desk duties, including checking in guests and handling incoming correspondence
  • Perform data entry, filing, and maintain accurate records using Microsoft Office, Google Workspace, and other office management tools
  • Support bookkeeping tasks using QuickBooks or similar accounting software to assist with invoicing and expense tracking
  • Coordinate calendar management and schedule appointments or meetings for staff and executives
  • Assist with clerical tasks such as proofreading documents, preparing reports, and organizing office supplies
  • Provide excellent customer service by supporting clients, vendors, and team members efficiently and courteously

<Requirements>

  • Proven office experience with strong organizational skills and attention to detail
  • Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and data entry skills
  • Experience with multi-line phone systems, calendar management, and office management practices
  • Bilingual abilities are highly desirable to serve diverse clientele effectively
  • Strong typing skills along with excellent proofreading capabilities
  • Previous experience in customer service or administrative roles such as medical or dental receptionist is a plus
  • Knowledge of bookkeeping software like QuickBooks or similar tools is advantageous
  • Demonstrated ability to manage time efficiently while handling multiple priorities simultaneously
