Duties

  • Greet visitors and clients warmly, providing excellent customer service with professional phone etiquette.
  • Operate multi-line phone systems to handle inquiries, direct calls accurately, and relay messages promptly.
  • Manage front desk responsibilities including scheduling appointments, maintaining visitor logs, and handling incoming correspondence.
  • Perform data entry using computer skills such as Microsoft Office, Google Workspace, and QuickBooks to update records and maintain files efficiently.
  • Organize and file documents systematically to ensure easy retrieval and compliance with company policies.
  • Support office management tasks such as calendar management, appointment setting, and coordinating meetings.
  • Assist with bookkeeping activities including basic invoicing and record keeping.
  • Conduct proofreading of documents to ensure accuracy and professionalism before distribution.
  • Maintain office supplies inventory and place orders as needed to keep the workspace fully stocked.
  • Provide clerical support such as photocopying, scanning, faxing, and mailing correspondence.
  • Support team members with personal assistant tasks when required, including travel arrangements or special projects.
  • Uphold high standards of organization through effective time management and prioritization of daily tasks.

Experience
Candidates should bring prior experience in an office environment or administrative role that demonstrates proficiency in clerical tasks and customer support. Ideal applicants will have familiarity with office management software such as Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar, Drive), and QuickBooks for bookkeeping purposes. Bilingual skills are highly valued to assist diverse client needs effectively. Previous experience working as a medical or dental receptionist or in a similar customer-facing role is advantageous. Strong organizational skills combined with excellent communication abilities—both verbal and written—are essential for success in this position. Candidates should also possess solid typing speed, data entry accuracy, and familiarity with multi-line phone systems to handle high call volumes efficiently.
