We are seeking a dynamic and organized Office Assistant to join our fashion team and help keep our daily operations running smoothly. We are a woman owned, elevated wholesale clothing brand with a retail operation at the office location. This vital role involves providing exceptional administrative support in the following: Shopify admin, billing and receiving, google docs/sheets, canva, mailchimp, among others. If not having prior experience in the above we require you to be open to learning and have an intuitive technical learning sense. The ideal candidate will be energetic, detail-oriented, possess strong communication and computer skills and be a good multitasker.

Duties

  • Manage phone systems, directing calls accurately and courteously using proper phone etiquette
  • Perform data entry and maintain organized filing systems for documents, records, and correspondence
  • Utilize Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools to prepare reports, schedules, and correspondence
  • Schedule appointments and manage calendars for staff or executives with attention to detail and time management skills
  • Assist with bookkeeping tasks using Aims360 accounting software to support basic financial record-keeping (you will be introduced to Aims360)
  • Support office management tasks such as ordering supplies and inventory managment
  • Provide customer service support by addressing inquiries promptly and professionally via phone or email
  • Proofread documents for accuracy and clarity before distribution or filing
  • Handle clerical duties including photocopying, scanning, filing, and organizing paperwork efficiently

Experience

  • Previous office experience or administrative support roles demonstrating organizational and computer skills and multitasking ability
  • Proficiency in Microsoft Office (Word, Excel, Outlook) or Google Workspace applications and social media channels.
  • Experience with QuickBooks or bookkeeping software is a plus
  • Bilingual abilities are highly desirable to serve diverse client needs effectively
  • Strong customer service skills with a professional phone etiquette background
  • Knowledge of office management procedures including filing systems, proofreading, and clerical tasks
  • Personal assistant or medical/dental receptionist experience is advantageous but not required
  • Demonstrated ability to manage time efficiently while handling multiple responsibilities
