JOB SUMMARY
The Office Assistant plays a critical support role within the organization, assisting with payroll coordination, accounts receivable/payable processing, and administrative tasks that ensure daily operations run smoothly. Reporting directly to the President/CEO, this position provides reliable support across financial functions and executive needs, helping maintain an organized and efficient office environment.

ESSENTIAL FUNCTIONS
- Assists with weekly payroll processing, ensuring accuracy and timeliness. Maintains related records and ensures compliance with local, state, and federal regulations
- Supports accounts payable and receivable tracking, data entry, reconciliation, and professional contact with vendors and clients
- Provides direct administrative support to the President/CEO which may include scheduling/calendar management, internal/external communications, and document preparation
- Maintains accurate and up-to-date employee personnel files.
- Assists with new employee orientation/onboarding, benefits tracking, and the processing of other personnel action changes to help ensure the organization remains in compliance with human resources/record retention practices/policies
- Support the Project Managers on various tasks, assignments, and paperwork during the bid times
- Will work closely with the outside Human Resources Consultant on various HR initiatives and projects, especially any complex cases, as assigned by the President/CEO
- Monitors office supplies, organizes files, and coordinates basic facility needs to support team productivity
- Helps prepare reports and summaries related to payroll, expenses, and project tracking

- Supports accounts payable and receivable tracking, data entry, reconciliation, and professional contact with vendors and clients.
- Provides direct administrative support to the President/CEO which may include scheduling/calendar management, internal/external communications, and document preparation
- Proofread documents for accuracy and clarity before distribution.
- Support various administrative functions such as answering phones, responding to emails, and greeting visitors.
- Implement effective time management strategies to prioritize tasks and meet deadlines.
- Collaborate with team members on special projects as needed
ADDITIONAL RESPONSIBILITIES
- Operates office machines including copiers, scanners, phone and voicemail systems, computers, and other standard office equipment as necessary for the success of the role.
- Performs other duties as appropriate or necessary for the performance of the job
MINIMUM QUALIFICATIONS
- High School Diploma or GED Equivalency required
- Four years or more of office clerical experience, including 1 year of payroll processing experience required
- Associate’s Degree (or higher) in Business Administration, Accounting, Human Resource Management, or another related field preferred
- One year or more of accounting experience preferred
- Experience working with the Sage Contractor software preferred
- One years or more of human resources experience preferred
- Experience working in the construction/excavation industry preferred
SPECIAL REQUIREMENTS
- Valid Driver’s License at the time of application, and a Valid Colorado Driver’s License at the time of Hire required
- Must successfully pass all applicable Background Checks/Drug Screen required
