Duties
- Greet visitors and clients at the front desk with friendly, professional demeanor
- Manage multi-line phone systems, screen calls, and direct inquiries appropriately
- Perform data entry and maintain accurate records using Microsoft Office and Google Workspace tools
- Handle filing, photocopying, scanning, and document proofreading to ensure organized records
- Assist with calendar management and scheduling appointments for staff or executives
- Support bookkeeping activities using QuickBooks or similar accounting software
- Provide customer support through effective communication and problem-solving skills
- Maintain office supplies inventory and coordinate procurement as needed
- Support administrative projects including typing reports, preparing correspondence, and organizing files
Skills
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Excellent organizational skills with keen attention to detail and accuracy in proofreading and data entry
- Effective phone etiquette skills for handling multi-line phone systems professionally
- Spanish speaking preferred. Bilingual abilities are highly desirable to serve diverse clients and team members effectively
- Previous office experience or clerical background demonstrating familiarity with administrative tasks
- Knowledge of office management procedures including filing systems and calendar coordination
- Personal assistant or automotive receptionist experience is a plus for understanding specialized environments
- Ability to prioritize tasks efficiently using time management techniques in a busy setting
- Customer service expertise to ensure positive interactions with clients, vendors, and team members
