Responsibilities

  • Serve as the first point of contact at the front desk, greeting visitors and directing them appropriately
  • Manage multi-line phone systems, answer inquiries, and route calls efficiently using proper phone etiquette
  • Handle data entry, filing, and document proofreading to maintain accurate records and organized files
  • Assist with calendar management, scheduling appointments, and coordinating meetings for staff or clients
  • Support bookkeeping activities using QuickBooks or similar accounting software to ensure accurate financial records
  • Provide exceptional customer support via phone, email, or in person, addressing questions promptly and professionally
  • Perform general office management duties including supply inventory, mail distribution, and maintaining office equipment

Requirements

  • Proven experience in an office environment with clerical or administrative responsibilities
  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
  • Familiarity with multi-line phone systems and excellent phone etiquette skills
  • Bilingual abilities are highly preferred to assist diverse clients and team members effectively
  • Excellent organizational skills with keen attention to detail and accuracy in proofreading and data entry
  • Ability to manage time efficiently, prioritize tasks, and handle multiple responsibilities simultaneously
  • Previous experience as a receptionist, personal assistant, medical receptionist, or dental receptionist is advantageous
  • Knowledge of office management practices including filing systems, calendar management, and bookkeeping
