Job Overview
We are seeking a detail-oriented and organized Office Assistant to join our team. The ideal candidate will provide essential administrative support, ensuring the smooth operation of our office. This role requires strong communication skills and the ability to manage multiple tasks efficiently. The Office Assistant will be the first point of contact for clients and visitors, making a positive impression through exceptional customer service.

Duties

  • Manage front desk operations, greeting visitors and answering inquiries in a professional manner.
  • Handle multi-line phone systems, directing calls appropriately and maintaining phone etiquette.
  • Perform data entry tasks, ensuring accuracy and attention to detail in all documentation.
  • Assist with filing, organizing documents, and maintaining office supplies.
  • Utilize Microsoft Office and Google Workspace for various administrative tasks including typing reports, creating spreadsheets, and managing calendars.
  • Provide customer support by addressing client needs and resolving issues promptly.
  • Support bookkeeping activities as needed, including basic accounting tasks using QuickBooks.
  • Maintain confidentiality while managing sensitive information related to clients and office operations.
  • Collaborate with team members on various projects, demonstrating strong organizational skills and time management.
  • Keep the office clean and organized.

Requirements

  • Previous office experience is preferred; clerical experience is a plus.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
  • Familiarity with QuickBooks or similar accounting software is advantageous.
  • Strong typing skills with attention to detail for proofreading documents.
  • Excellent organizational skills with the ability to prioritize tasks effectively.
  • Bilingual candidates are encouraged to apply to enhance communication with diverse clients.
  • Experience in customer service or administrative roles is highly valued; personal assistant or dental/medical receptionist experience is a plus.
  • Ability to manage calendars efficiently and coordinate appointments as necessary.
