Job Overview
Starting With Health In-Home Care is seeking a detail-oriented and proactive Care Coordinator for our office team. This role is essential in providing administrative support to ensure efficient operation of our home care agency serving adults with intellectual disabilities and autism.
We follow 55 Pa. Code Ch. 6100 and HCBS Final Rule. If you want admin work that actually impacts people’s lives, this is it.
Duties
Manage front desk operations: greet visitors, families, and staff. Handle multi-line phone system with professional phone etiquette
Schedule interviews, new hire orientations, and staff training per § 6100.142
Track compliance: staff clearances, annual trainings, physicals, and competency checklists in PQDR
Perform data entry and maintain accurate electronic/paper filing systems for staff + individual records
Assist with calendar management and scheduling appointments for leadership team and ISP meetings
Provide customer support to individuals, families, and Support Coordinators with confidentiality
Utilize Microsoft Office and Google Workspace for letters, spreadsheets, staff notices, and training logs
Handle clerical tasks: typing, organizing files, scanning, ordering + maintaining office supplies
Requirements
Required:
Proven experience in an administrative role, front desk, or similar position
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace
Strong organizational skills with ability to manage multiple tasks and deadlines
Excellent written and verbal communication skills
Ability to maintain HIPAA/6100 confidentiality and handle sensitive information responsibly
Strong attention to detail with effective time management skills
High school diploma/GED + able to pass 6100.141 clearances
Preferred:
Knowledgeable in the home care or ID/A industry
Prior experience with scheduling, onboarding, or compliance tracking
Bilingual candidates are encouraged to apply
Experience in clerical duties: data entry, filing, proofreading
Background in office management or personal assistant roles is advantageous
