Office Assistant

Job Overview
We are seeking a dynamic and highly organized Office Assistant to join our team! This energetic role is vital in ensuring the smooth operation of daily office activities, providing exceptional customer service, and supporting administrative functions. As an Office Assistant, you will be the first point of contact for visitors and callers, manage office supplies, handle data entry tasks, and support various departments with their administrative needs. Duties

  • Greet visitors and manage front desk operations with professionalism and warmth
  • Operate multi-line phone systems, answer inquiries, and direct calls efficiently using proper phone etiquette
  • Manage calendar appointments, schedule meetings, and coordinate office events with precision
  • Perform data entry, filing, and document proofreading to ensure accuracy and organization
  • Maintain office supplies inventory and place orders as needed to keep the workspace fully stocked
  • Utilize computer skills including Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace for various administrative tasks
  • Support bookkeeping activities using QuickBooks or similar accounting software when necessary
  • Assist with customer support by addressing inquiries promptly and courteously in person or via phone or email
  • Handle clerical duties such as copying, scanning, faxing, and mailing documents efficiently
  • Support office management tasks including organizing files, maintaining records, and ensuring compliance with company policies

Experience

  • Proven office experience or administrative support background demonstrating strong organizational skills
  • Familiarity with multi-line phone systems and excellent phone etiquette skills
  • Bilingual abilities are highly preferred to serve diverse client needs effectively
  • Proficiency in computer literacy including Microsoft Office (Word, Excel), Google Workspace, data entry, and proofreading skills
  • Experience with receptionist duties such as front desk management or medical/dental receptionist roles is advantageous
  • Personal assistant or medical receptionist experience is a plus for handling calendar management and client interactions
  • Demonstrated ability to manage time effectively while handling multiple tasks in a fast-paced environment
  • Clerical experience involving filing, data entry, bookkeeping (QuickBooks), and customer service is highly valued
