Job Summary

Responsibilities
- Greet visitors professionally at the front desk, providing exceptional customer service and directing them appropriately
- Manage multi-line phone systems, answer inquiries, transfer calls, and take detailed messages with proper phone etiquette
- Perform data entry and maintain accurate records using Microsoft Office applications and Google Workspace tools
- Handle filing, photocopying, proofreading documents, and organizing office supplies to ensure efficiency
- Support calendar management and schedule appointments or meetings for team members or executives
- Provide general administrative support including typing correspondence, managing email communications, and supporting office management duties
Skills
- Proven experience in office administration, clerical work, or customer service roles
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace (Gmail, Drive, Calendar)
- Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently
- Bilingual abilities are highly desirable to assist diverse clients and team members
- Experience with multi-line phone systems and phone etiquette is essential
- Knowledge of QuickBooks or bookkeeping software is a plus for handling financial records
- Demonstrated attention to detail in proofreading, data entry, and filing processes
- Exceptional customer support skills with a friendly demeanor and professional communication style
- Previous experience as a front desk receptionist or medical/dental receptionist is advantageous
- Personal assistant or office management experience will be considered an asset
