We are seeking a dynamic and highly organized Office Assistant to join our team! Duties

  • Greet visitors and clients at the front desk with professionalism and warmth, providing excellent customer service.
  • Manage multi-line phone systems, screen calls, take messages, and direct inquiries to appropriate team members.
  • Handle data entry tasks using computer skills, including updating records in QuickBooks, Google Workspace, and Microsoft Office applications.
  • Maintain organized filing systems—both physical and digital—ensuring easy retrieval of documents.
  • Assist with calendar management and appointment scheduling for staff and executives.
  • Perform clerical duties such as proofreading documents, preparing correspondence, and managing incoming/outgoing mail.
  • Support office management tasks including supply inventory, basic bookkeeping, and coordinating maintenance requests.

Skills

  • Proven experience in office administration or clerical roles with strong organizational skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools.
  • Familiarity with QuickBooks for bookkeeping and financial recordkeeping.
  • Excellent phone etiquette with experience managing multi-line phone systems in a professional setting.
  • Bilingual abilities are highly valued to serve diverse client needs effectively.
  • Strong typing skills combined with attention to detail for proofreading and data entry accuracy.
  • Knowledge of office management practices, including filing systems, calendar management, and customer support techniques.
  • Ability to prioritize tasks efficiently using time management skills in a fast-paced environment.
