Duties
- Manage front desk operations, greeting visitors and directing them appropriately with professional phone etiquette
- Operate multi-line phone systems to handle inquiries, transfer calls, and provide information efficiently
- Maintain organized filing systems, including digital files using Google Workspace and Microsoft Office applications
- Perform data entry and bookkeeping tasks using QuickBooks and other accounting software
- Support calendar management and scheduling for team meetings, appointments, and personal assistants as needed
- Assist with document proofreading, editing, and preparing correspondence for accuracy and clarity
- Handle clerical duties such as photocopying, faxing, mailing, and maintaining office supplies inventory
- Provide exceptional customer support by addressing inquiries promptly and professionally in person or via phone or email
Skills
- Proven experience in office management or administrative roles with strong organizational skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools
- Familiarity with QuickBooks for bookkeeping and financial record-keeping
- Excellent computer literacy including data entry, filing systems, and document proofreading
- Strong multi-tasking abilities with effective time management skills in a fast-paced environment
- Bilingual capabilities are highly desirable to serve diverse clients and team members effectively
- Experience as a dental or medical receptionist is a plus; familiarity with front desk procedures is essential
- Knowledge of office equipment operation such as multi-line phones, printers, scanners, and fax machines
- Demonstrated customer service expertise with professional phone etiquette and support skills
- Personal assistant experience or calendar management skills are beneficial for supporting executive needs
