Office Assistant

Job Summary
We are seeking a proactive and organized Office Assistant to join our dynamic team! In this vital role, you will serve as the first point of contact for visitors and callers, manage daily administrative tasks, and ensure the smooth operation of our office environment. Responsibilities

  • Greet visitors and clients professionally at the front desk, creating a positive first impression
  • Manage multi-line phone systems, screen calls, and direct inquiries efficiently using proper phone etiquette
  • Handle data entry, filing, and document proofreading to maintain accurate records and organized files
  • Assist with calendar management and scheduling appointments using Google Workspace or Microsoft Office tools
  • Support bookkeeping tasks such as invoicing, expense tracking, and basic QuickBooks entries
  • Provide excellent customer service by responding promptly to inquiries via phone, email, or in person
  • Perform general clerical duties including photocopying, scanning, mailing, and maintaining office supplies

Skills

  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Experience with office management tasks including filing, data entry, and calendar coordination
  • Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently
  • Bilingual abilities are highly preferred to assist a diverse clientele and team members
  • Knowledge of multi-line phone systems and phone etiquette to handle calls professionally
  • Previous office experience or clerical background is essential for success in this role
  • Familiarity with bookkeeping software such as QuickBooks and basic bookkeeping procedures is a plus
  • Strong proofreading skills to ensure accuracy in documents and correspondence
  • Customer service expertise with a friendly demeanor and problem-solving attitude
  • Personal assistant or medical/dental receptionist experience is advantageous for supporting specialized needs
