Responsibilities

  • Greet visitors and manage front desk duties with professionalism and warmth
  • Answer multi-line phone systems promptly, directing calls accurately and courteously
  • Handle data entry, filing, and document proofreading to ensure accuracy and organization
  • Manage calendar appointments, schedule meetings, and coordinate office events
  • Support bookkeeping tasks using QuickBooks or similar accounting software
  • Assist with office management tasks such as supply ordering and maintaining office equipment
  • Provide excellent customer service by responding to inquiries via phone, email, or in person
  • Maintain organized records of correspondence, invoices, and other essential documents
  • Support administrative projects including typing reports, preparing presentations, and supporting personal assistant duties if needed

Requirements

  • Proven office experience with strong clerical skills and familiarity with office management procedures
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
  • Excellent organizational skills with the ability to prioritize tasks effectively
  • Strong computer literacy including data entry, proofreading, and document formatting skills
  • Experience with multi-line phone systems and phone etiquette standards
  • Bilingual abilities are a plus for serving diverse clients or team members
  • Prior experience as a receptionist, medical or dental receptionist, or personal assistant is advantageous
  • Knowledge of bookkeeping practices using QuickBooks or similar software is preferred
  • Exceptional customer service skills with a friendly attitude and professional demeanor
  • Ability to manage time efficiently in a fast-paced environment while maintaining accuracy
