Office Assistant

Overview
We are seeking a dynamic and organized Office Assistant to join our team and help ensure the smooth operation of our office environment. This role offers an exciting opportunity to contribute to a professional setting where your administrative skills, customer service expertise, and organizational talents will make a real impact. The ideal candidate will be proactive, detail-oriented, and must posses excellent communication skills, to support various office functions and provide exceptional support to staff and visitors alike.

Responsibilities

  • Greet visitors and clients at the front desk with professionalism and warmth, managing phone calls with efficiency and courtesy.
  • Handle incoming calls, direct inquiries appropriately, and maintain excellent phone etiquette at all times.
  • Manage calendar scheduling, appointment setting, and helping with Daily Sales Sheets in Excel.
  • Perform data entry, filing, and document proofreading to ensure accuracy and organization across all administrative records.
  • Support office management tasks such as inventory control, supply ordering, and maintaining cleanliness of common areas.
  • Assist with bookkeeping duties using QuickBooks or similar software to track expenses and invoices.
  • Provide general clerical support including typing correspondence, organizing files, managing mail distribution, and supporting customer service efforts.

Requirements

  • Proven experience in office administration or clerical roles with a strong background in office management.
  • Proficiency in computer literacy including Apple Office Suite and Google Workspace applications.
  • Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
  • Strong typing skills along with attention to detail for proofreading invoices accurately.
  • Experience handling phone system and demonstrating professional phone etiquette.
  • Previous experience as a receptionist or personal assistant is preferred.
