This position requires plant and landcaping experience. Must be knowledgeable in plant materials and landscape supplies. Knowledge in working with vendors and nurseries is suggested but not required.
Responsibilities
- Greet visitors, clients, and staff with professionalism and warmth at the front desk, ensuring a positive first impression.
- Manage multi-line phone systems, directing calls efficiently and courteously while maintaining excellent phone etiquette.
- Handle incoming correspondence, emails, and inquiries promptly, providing accurate information or routing messages appropriately.
- Maintain organized filing systems—both physical and digital—using tools like Google Workspace and Microsoft Office applications.
- Perform data entry tasks with precision, including updating records, managing calendars, and scheduling appointments or meetings.
- Support bookkeeping activities using QuickBooks or similar accounting software to assist with invoicing, billing, and expense tracking.
- Assist with office management duties such as ordering supplies, maintaining inventory, and ensuring the workspace remains tidy and functional.
- Provide clerical support including proofreading documents, preparing reports, and managing mail distribution.
- Coordinate calendar management for team members or executives to optimize time management and appointment scheduling.
- Offer customer support by addressing inquiries professionally via phone or email, ensuring excellent service standards are upheld.
- Support medical or dental receptionist duties if applicable, including patient check-in/out procedures and appointment confirmations.
- Contribute to a positive office environment by demonstrating excellent customer service skills and professional phone etiquette.
Qualifications
- Knowledge in plant materials, plant ordering, landscaping materials and supplies.
- Proven office experience with strong clerical skills in a fast-paced environment.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools.
- Experience with QuickBooks or similar bookkeeping software is highly desirable.
- Excellent organizational skills with keen attention to detail; ability to multitask effectively.
- Strong computer literacy including typing speed and accuracy; familiarity with data entry tasks.
- Exceptional communication skills; bilingual abilities are a plus for serving diverse clients or teams.
- Experience managing multi-line phone systems and providing outstanding customer service.
- Knowledge of office management procedures including filing systems, calendar management, and supply ordering.
- Demonstrated ability to handle confidential information discreetly while maintaining professionalism.
- Strong time management skills with the ability to prioritize tasks efficiently in a busy environment.
