Office Assistant needed

Overview
We are seeking a dynamic and highly organized Office Assistant. This position consist of office operations, enhance workflow efficiency, and ensure a welcoming environment for staff and visitors alike. The ideal candidate would be experienced with quickbooks and construction knowledge. Duties include self motivation, detail-oriented, and possess excellent communication skills, ready to handle a variety of administrative tasks with enthusiasm and professionalism. This paid position provides a chance to develop your office management skills while contributing to a positive and productive workplace atmosphere.

Responsibilities

  • Greet visitors and manage front desk duties with friendly professionalism, ensuring a positive first impression.
  • Answer inquiries, and direct calls efficiently using proper phone etiquette.
  • Maintain organized filing systems, both physical and digital, including data entry and document proofreading.
  • Support bookkeeping activities by utilizing QuickBooks for invoicing, expense tracking, and financial record keeping.
  • Assist with office management tasks such as supply inventory, equipment maintenance, and general clerical support.
  • Provide excellent customer support by responding promptly to inquiries and assisting clients or visitors as needed.
  • Handle administrative duties like copying, scanning, mailing, and organizing files to ensure smooth daily operations.

Qualifications

  • Proven office experience with strong clerical and administrative skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
  • Familiarity with QuickBooks or similar bookkeeping software is preferred.
  • Excellent organizational skills with the ability to prioritize tasks effectively.
  • Strong typing skills along with attention to detail for proofreading and data entry tasks.
  • Bilingual abilities are a plus to assist diverse client needs.
  • Office management is highly desirable.
  • Demonstrated professionalism in phone etiquette and customer service interactions.
