We are seeking an energetic and detail-oriented Office Assistant / Operations Support professional to join our dynamic team. In this role, you will be the backbone of our office operations, ensuring smooth daily functions, providing outstanding customer support, and assisting with administrative and bookkeeping tasks. Your proactive approach and organizational skills will help us maintain efficiency and uphold our reputation for excellence. Responsibilities

  • Manage front desk duties, greeting visitors and clients with professionalism and warmth
  • Operate multi-line phone systems, directing calls accurately and courteously
  • Maintain organized filing systems, data entry, and record keeping using Microsoft Office and Google Workspace
  • Assist with bookkeeping using QuickBooks, including invoicing, expense tracking, and financial record management
  • Support office management tasks such as calendar scheduling, appointment setting, and calendar management for team members
  • Provide excellent customer service via phone, email, and in person; handle inquiries with professionalism and clarity
  • Perform clerical duties including proofreading documents, preparing reports, filing paperwork, and managing office supplies

Qualifications

  • Proven office experience with strong organizational skills and attention to detail
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
  • Familiarity with QuickBooks or similar bookkeeping software is highly desirable
  • Excellent phone etiquette with experience managing multi-line phone systems
  • Bilingual abilities are a plus for effective communication with diverse clients
  • Strong typing skills along with good computer literacy and data entry accuracy
  • Previous clerical or administrative experience demonstrating reliability and time management skills
  • Personal assistant or office management experience is beneficial but not required
