Office Assistant / Scheduling Coordinator

Amabile School of Music, established in 2008 in San Francisco, is seeking a highly organized, dependable, and personable Office Assistant to support the day-to-day coordination of our growing music school in Moraga, CA.

This is not a front desk or receptionist position. The role is heavily focused on scheduling logistics, communication coordination, and operational support for teachers, students, and families. The ideal candidate is someone who excels at managing moving schedules, solving problems quickly, and maintaining clear, professional communication in a fast-paced environment.

This is also not a traditional 9–5 office role. Our schedule follows after-school lesson hours, so flexibility with afternoon and evening availability is important.

We are looking for someone who enjoys working with children and families, is detail-oriented, tech-comfortable, and can confidently balance multiple responsibilities at once. Strong customer service skills, professionalism, and the ability to work independently are essential.

Key responsibilities include:

  • Managing and coordinating complex lesson schedules for teachers and students
  • Using scheduling management software to maintain accurate calendars, lesson times, attendance, and communication records
  • Handling schedule changes, makeups, cancellations, and calendar updates
  • Communicating with parents, students, and faculty in a timely and professional manner
  • Supporting daily administrative and operational tasks
  • Maintaining organization across scheduling systems and school communications
  • Assisting with student enrollment and ongoing family support

The ideal candidate:

  • Is exceptionally strong with scheduling and time management
  • Is comfortable learning and using scheduling and administrative software systems
  • Can work independently, take initiative, and stay organized without constant supervision
  • Has excellent written and verbal communication skills
  • Is reliable, proactive, and highly detail-oriented
  • Adapts well in a fast-paced environment with many moving parts
  • Enjoys helping families and creating a positive experience for students and teachers

Schedule

  • Monday through Friday between 1:00 PM – 8:00 PM
  • Occasional weekend sub shifts between 9:00 AM – 4:00 PM
  • Position available now

Preferred Experience

Experience in any fast-paced, customer-facing environment is appreciated, including:

  • School administration
  • Hospitality or restaurant work
  • Retail
  • Customer support
  • Banking
  • Medical or dental offices
  • Salons or wellness businesses
