Position Overview
We are looking for a friendly, organized, and motivated Office Assistant to join our growing team. This is a dynamic front-of-house role that keeps our spa running smoothly day to day. You'll work closely with the Spa Manager, support our nail technicians, and be the first point of contact for our valued clients. This position offers real opportunities for growth into a supervisory or management role for the right candidate.
Key Responsibilities
Front Desk & Client Services
- Warmly greet and check clients in and out with a professional and welcoming attitude
- Manage appointment scheduling, cancellations, and confirmations via phone, text, and booking software
- Accurately process payments, and reconcile end-of-day transactions
- Maintain client records and preferences in our booking system
- Respond to client inquiries and resolve concerns in a timely, professional manner
Phone & Communications
- Answer incoming phone calls and respond to voicemails and messages promptly
- Handle inquiries about services, pricing, availability, and spa policies
- Follow up with clients for appointment reminders and feedback
Spa Preparation & Operations
- Open and prepare the spa for daily operations, ensuring all areas are clean, stocked, and guest-ready
- Monitor inventory levels for front-desk and retail supplies and notify the manager when restocking is needed
- Assist with end-of-day closing procedures, including cleaning, securing the facility, and reconciling records
- Ensure the reception area, waiting room, and retail displays are tidy and visually appealing throughout the day
Manager Support
- Assist the Spa Manager with administrative tasks, scheduling, and daily communications
- Support staff coordination and help relay important updates between the team and management
- Help track and organize client feedback, reviews, and operational data as needed
- Contribute ideas and feedback for improving guest experience and spa operations
Qualifications
Required
- High school diploma or equivalent
- Strong verbal and written communication skills
- Friendly, professional demeanor with a customer-first mindset
- Ability to multitask and stay organized in a fast-paced environment
- Basic computer and phone skills (scheduling software experience a plus)
- Reliable, punctual, and a team player
Preferred
- Prior experience in a spa, salon, medical office, or customer-facing role
- Experience with Zenoti or similar appointment booking software
- Interest in the beauty or wellness industry

Schedule
This is a full-time position. Our spa is open Wednesday through Sunday, 9:00 AM – 7:00 PM. Weekend availability (Friday, Saturday and Sunday) is required. Specific shift scheduling will be discussed during the interview process.
