We are seeking a proactive and organized Office Assistant/Dispatcher to join our HVAC Team. Responsibilities
- Greet visitors and manage the front desk, creating a welcoming atmosphere for clients and staff.
- Answer multi-line phone systems promptly, professionally, and courteously, directing calls as needed.
- Schedule appointments, coordinate calendars, and manage time-sensitive tasks using Microsoft Office and Google Workspace tools.
- Dispatch field personnel or service providers accurately based on operational needs, maintaining clear communication channels.
- Perform data entry, filing, and recordkeeping with precision to ensure all documentation is current and organized.
- Provide customer support by addressing inquiries efficiently and maintaining excellent phone etiquette.
- Assist with clerical duties such as proofreading documents, managing correspondence, and supporting office management activities.
Skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace for efficient task management.
- Strong organizational skills with the ability to multitask effectively in a fast-paced environment.
- Excellent communication skills, including phone etiquette and bilingual abilities (preferred).
- Experience with office management, clerical tasks, data entry, filing, and proofing documents accurately.
- Knowledge of QuickBooks or bookkeeping experience is a plus for handling basic financial records.
- Familiarity with multi-line phone systems, calendar management, and office software applications.
