Office Assistant/Insurance and Billing

Job Summary
We are seeking a dynamic and organized Office Assistant specializing in Insurance and Billing to join our team! This energetic role is vital in ensuring smooth office operations, accurate billing processes, and exceptional customer support. The Billing and Insurance Assistant is responsible for overseeing the full revenue cycle, from verifying patient benefits before their first appointment to ensuring the final claim is paid. You will work closely with therapists to ensure documentation matches billing and act as a primary point of contact for patients regarding their financial responsibilities.

Key Responsibilities1. Insurance Verification & Authorization

  • Benefits Verification: Confirming patient coverage, including deductibles, co-pays, and co-insurance.
  • Pre-Authorizations: Obtaining necessary approvals from insurance companies before treatment begins.
  • Tracking Visits: Monitoring authorized visit counts to ensure the clinic doesn't provide "non-covered" services.

2. Claims Management

  • Submission: Preparing and submitting electronic or paper claims to commercial and government payers.
  • Coding Review: Ensuring PT-specific CPT codes and ICD-10 codes are accurate.
  • Denial Management: Researching, correcting, and appealing denied or rejected claims in a timely manner.

3. Patient Accounts & Collections

  • Patient Education: Explaining complex EOBs (Explanation of Benefits) to patients in plain English.
  • Payment Processing: Collecting co-pays at the front desk and managing monthly billing statements.
  • Payment Plans: Setting up and monitoring budget plans for patients with high deductibles.

4. Administrative Support

  • Credentialing: Assisting in the maintenance of provider credentials with various insurance networks.
  • Records Requests: Handling subpoenas or medical record requests from attorneys (common in Workers' Comp or Personal Injury cases).

Required Skills & QualificationsCategoryRequirementsExperience1–2 years in medical billing (PT, Chiropractic, or Orthopedic experience preferred).Knowledge: Familiarity with Insurance terminology and HIPAA privacy regulations.Software: Proficiency in EMR/EHR systems (e.g., WebPT, Jane, or Kareo) and Google Workspace.Communication:Ability to be firm yet empathetic when discussing money with patients in pain.Organization:Extreme attention to detail; "close enough" doesn't work with insurance companies.

  • Manage front desk responsibilities, greeting visitors and directing calls with professionalism and warmth
  • Operate multi-line phone systems, answer inquiries, and route calls effectively using proper phone etiquette
  • Handle data entry tasks accurately using computer skills, including Microsoft Office, Google Workspace, and specialized billing software such as QuickBooks
  • Process insurance claims, verify coverage details, and ensure billing accuracy for patient accounts or client invoices
  • Maintain organized filing systems for insurance documents, billing records, and administrative files
  • Assist with appointment scheduling and calendar management for staff or medical/dental practitioners
  • Support office management duties such as proofreading documents, managing correspondence, and coordinating office supplies
  • Provide exceptional customer service by supporting clients’ billing questions and resolving issues efficiently
  • Perform clerical tasks including photocopying, faxing, and maintaining accurate records of transactions and communications
  • Contribute to a positive office environment through effective time management and organizational skills
