We are seeking a dynamic and detail-oriented Office Assistant/Receptionist to join our team! Duties
Should have knowledge of construction related lanaguage and construction terms
- Greet visitors warmly and professionally, managing front desk operations with enthusiasm and efficiency
- Answer multi-line phone systems promptly, directing calls accurately and courteously
- Manage appointment scheduling and calendar coordination using Microsoft Office and Google Workspace tools
- Perform data entry, filing, and document proofreading to ensure accuracy and organization
- Support office management tasks such as inventory tracking, supply ordering, and record keeping
- Assist with bookkeeping activities using QuickBooks or similar accounting software when needed
- Provide customer support by responding to inquiries via phone or email, maintaining excellent phone etiquette
- Maintain a clean, organized reception area and ensure all office supplies are stocked and accessible
Qualifications
- Proven experience in office administration, clerical work, or reception duties in a fast-paced environment and familiar with the construction industry
- Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry skills
- Excellent organizational skills with the ability to multitask efficiently and prioritize tasks effectively
- Experience with multi-line phone systems, front desk operations, and customer service is preferred
- Knowledge of QuickBooks or bookkeeping experience is a plus
- Strong phone etiquette, proofreading skills, and attention to detail are essential for success in this role
- Personal assistant or medical/dental receptionist experience is beneficial but not required
