What You’ll Do
- Work directly with contractors, designers, and end clients
- Handle incoming calls, prepare quotes, process orders, and manage follow-ups
- Source materials and coordinate with suppliers
- Manage invoicing, purchase orders, and day-to-day workflow
- Support showroom and office operations with accuracy and professionalism
What We’re Looking For
- 3+ years of proven experience in stone & tile (sales, showroom, or operations)
- Strong communication skills and confidence working with industry professionals

- Solid working knowledge of QuickBooks and Microsoft Office

Duties
- Greet visitors and clients at the front desk with professionalism and warmth, managing multi-line phone systems and providing excellent customer support
- Handle incoming calls using proper phone etiquette, direct calls appropriately, and take detailed messages when necessary
- Manage calendar appointments, schedule meetings, and coordinate conference room bookings using Microsoft Office and Google Workspace tools
- Perform data entry, maintain filing systems, and ensure accurate record-keeping for all administrative documents
- Assist with bookkeeping tasks using QuickBooks or similar accounting software to support financial record management
- Support office management by ordering supplies, organizing files, proofreading documents, and maintaining office cleanliness
- Provide clerical support including typing correspondence, proofreading materials, and supporting personal assistants or medical/dental reception duties as needed
Experience
- Proven experience in an office environment or administrative role demonstrating strong organizational skills and multitasking ability
- Familiarity with multi-line phone systems, front desk operations, and customer service best practices
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and basic computer literacy
- Previous experience with bookkeeping software such as QuickBooks is highly desirable
- Bilingual abilities are a plus to effectively communicate with diverse clients and team members
- Strong typing skills with attention to detail for proofreading and data entry tasks
- Experience in medical or dental receptionist roles or personal assistant positions is advantageous but not required
