Office Assistant/Receptionist

Job Summary
We are seeking a dynamic and organized Office Assistant/Receptionist to join our team! This vital role ensures the smooth operation of daily office activities, providing exceptional customer service and administrative support. The ideal candidate will be energetic, detail-oriented, and possess excellent communication skills to create a welcoming environment for visitors and clients alike. Responsibilities

  • Greet visitors and clients warmly, ensuring a positive first impression of the office environment
  • Manage multi-line phone systems, directing calls professionally and efficiently using proper phone etiquette
  • Handle front desk duties including scheduling appointments, maintaining calendars, and managing incoming correspondence
  • Perform data entry, filing, and document proofreading to ensure accuracy and organization of records
  • Utilize computer skills with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace for daily tasks
  • Support office management by coordinating supplies, maintaining cleanliness, and organizing files and documents
  • Provide customer support through courteous communication, addressing inquiries promptly and effectively
  • Assist with bookkeeping tasks using QuickBooks or similar software as needed for basic financial record keeping

Requirements

  • Bilingual/ Spanish communication capabilities.
  • Proven office experience or clerical experience demonstrating strong organizational skills
  • Excellent computer literacy with proficiency in Microsoft Office, Google Workspace, and data entry tools
  • Strong communication skills with professional phone etiquette; bilingual abilities are a plus
  • Ability to manage multiple tasks efficiently while maintaining attention to detail
  • Experience with multi-line phone systems and front desk operations preferred
  • Knowledge of office management procedures including filing, proofreading, and calendar management
  • Personal assistant or medical/dental receptionist experience is advantageous but not required
  • Demonstrated time management skills to prioritize tasks effectively in a fast-paced environment
