This position is a crucial link between our clients, applicants and Property Management team. Will work collaboratively with office staff to support the Property Manager. This is the first impression of the office and therefore is extremely important to be positive, cheerful and very organized.
Essential Functions:
- Answers incoming telephone calls in a cheerful manner, determines purpose of callers, and forwards calls to appropriate personnel or department.
- Takes and delivers messages when appropriate personnel are unavailable.
- Answers general questions about the company, application process, available properties and other information and refers other specific questions to appropriate staff.
- Welcomes on-site visitors, determines nature of business, and announces visitors to appropriate personnel.
- Works closely with Property Manager to oversee the application process, schedule showings, approve applicants.
- Updates calendars as needed/directed.
- Receives, sorts, and routes mail.
- Distributes written communication, accepts and signs for deliveries (mail, prescriptions, etc.).
- Maintains copy and fax machines, assists users, sends faxes, and retrieves and routes incoming faxes.
- Creates and prints fax cover sheets, memos, correspondence, reports, and other documents when necessary.
- Performs other clerical duties as needed, such as filing, photocopying, and collating.
- Collects rent checks from residents and family members and provides needed information to bookkeeping for billing.
- May perform other duties as assigned.
- Provide high quality of customer service and take an active role in the tenant retention program.
Requirements and Qualifications:
- Must speak Spanish.
- High school diploma or equivalent certification required. BA/BS preferred.
- 3+ years of previous customer service experience preferred.
- Prior administrative experience and experience in property and real estate management highly desirable.
- Proven customer service and problem solving skills.
- Ability to listen, think clearly and to communicate effectively and courteously in challenging and sometimes stressful situations.
- Excellent written and verbal communication skills.
- Demonstrated ability to determine needs and achieve results without close supervision.
- Demonstrated proficiency with computer programs to include Microsoft Office (Word/Excel).
- Ability to organize and coordinate work efficiently, and set priorities.
- Ability to work independently and as part of a team.
- Consistently projects professionalism in representing Lawson Property Management at all times.
- Ability to work under pressure and effectively meet deadlines.
