Overview
We are seeking a dynamic and detail-oriented Office Clerk to join our administrative team. This vital role ensures the smooth operation of daily office activities, providing exceptional support across various departments. The ideal candidate will be energetic, highly organized, and possess a strong foundation in clerical and customer service functions. As an Office Clerk, you will be the first point of contact for visitors and callers, manage essential office tasks, and contribute to maintaining an efficient work environment that promotes productivity and professionalism.

Responsibilities

  • Greet visitors and direct them appropriately, ensuring a positive first impression
  • Answer multi-line phone systems promptly and professionally, providing excellent customer support
  • Manage front desk duties including scheduling appointments and handling incoming correspondence
  • Perform data entry and maintain accurate filing systems both digitally and physically
  • Utilize software such as Microsoft Office, Google Workspace, and QuickBooks to prepare documents, reports, and financial records
  • Support office management tasks such as calendar management, appointment setting, and supply inventory oversight
  • Proofread documents for accuracy and clarity, ensuring high-quality communication across all materials

Requirements

  • Proven office management or clerical experience with strong organizational skills
  • Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
  • Experience with QuickBooks accounting software is highly desirable
  • Excellent phone etiquette with experience handling multi-line phone systems and customer inquiries
  • Bilingual abilities are a plus to serve diverse clientele effectively
  • Strong typing skills with attention to detail for data entry and proofreading tasks
  • Knowledge of office equipment such as fax machines, scanners, and printers
  • Ability to manage time efficiently in a fast-paced environment while maintaining accuracy
  • Previous experience in customer service or as a receptionist in medical or dental settings is advantageous
