Hybrid with weekly travel into Boston Office

Role Overview
The Office Coordinator is responsible for the smooth day-to-day operation of CEV’s Boston Headquarters and our hybrid/remote team. This role focuses on site operations, scheduling, calendars, vendor coordination, and administrative execution, and serves as the first point of contact for many inbound needs.
The Office Coordinator ensures that the entire office environment (both in-person and remotely) functions smoothly. This includes maintaining a welcoming and productive environment for team members, guests, and partners; coordinating logistics for meetings and events; and ensuring virtual and hybrid meetings are well organized and coordinated. The role supports executives and team members by managing shared calendars, scheduling meetings across multiple time zones, and assisting with travel coordination and expense processing across the team.
This individual will also be responsible for liaising with the coworking space provider, IT and service vendors, and other partners to ensure smooth daily operations. They will play an important role in coordinating onsite activities such as interviews, partner meetings, and portfolio events, while supporting internal communication and team organization.
This is a highly visible position within the firm, best suited for someone who is detail-oriented, organized, and proactive. The ideal candidate thrives in a collaborative environment, anticipates needs before they arise, and takes ownership of creating an efficient, positive, and well-managed hybrid workplace that supports the broader mission of Clean Energy Ventures.
